Changing a Rate or a Student's Plan

By Trio Team · Updated

There are two ways to change what a family pays. Change a plan's price for every student on it, or move one student to another plan. This article covers both. To create a plan, see Billing Plans. To enroll a student, pause or end an enrollment, see Enrollments and Pauses.

Owners and admins make these changes. They work on every Trio plan.

Move One Student to Another Plan

  1. Open the family from your families list.
  2. Click the pencil next to the student's plan. Each plan, also a paused plan, has its own pencil.
  3. In Change Billing Plan, choose the New Plan. The list shows every active plan.
  4. Choose the Effective Date. It is today unless you change it.
  5. Click Change Plan.

The old enrollment ends the day before the Effective Date, and the new enrollment starts on it. The student's other enrollments do not change. A pause stays with the old enrollment, so pause the new one again if you need to.

How the Change Bills

Invoices already made do not change. After that:

  • From one monthly plan to another. The old plan bills the month of the Effective Date; by default the new plan bills $0 that month (the full fee if the old plan was paused all month). With an Effective Date on the 1st, the new plan bills that month.
  • From one per-lesson plan to another. Each lesson bills at the rate of the plan on the lesson's date.
  • From a monthly plan to a per-lesson or package plan. The monthly plan bills up to the day before the Effective Date, and the new plan bills lessons from that date.
  • From a per-lesson or package plan to a monthly plan. Lessons before the Effective Date bill on the old plan. Set the monthly plan's First month's amount with that in mind.

When the Month Is Already Billed

A monthly plan cannot end before the last day of a month it has already billed. For example, when November is billed, the earliest Effective Date is December 1. Change Billing Plan tells you so.

  • To end the plan earlier, void the unpaid November invoice first, then change the plan. See What a Void Does.
  • A paid invoice cannot be voided. End the plan on the last billed day, and give the money back as a refund or account credit. See Refunding a Payment.

The First and Last Month's Amount

When a monthly plan ends mid-month in an unbilled month, Trio asks for Last month's amount. When one starts after the 1st, Trio asks for First month's amount. Each offers:

  • Full fee bills the whole month.
  • Other amount bills the amount you type, from $0 to the plan's fee. For example, a student who stops after two of four lessons can pay half. $0 bills nothing for that month.

The first month bills on the next run. Ending a plan after you added its replacement also asks for the replacement's first month.

What the Family Sees

Trio sends the family no notice of a plan change, so tell them yourself.

  • On a monthly or per-lesson plan, the family sees the new amount on their next invoice.
  • A move to a package plan makes the package invoice at once. It is a Draft, due 15 days after the Effective Date. The family sees it after you send it from the Invoices tab. Their Billing page and dashboard show the package balance from the move. See Lesson Packages.

Change a Plan's Price

  1. Open the Plans tab of your billing dashboard.
  2. Open the plan's Actions menu and choose Edit.
  3. Change the amount and click Save Changes.

Edit Billing Plan shows how many active enrollments use the plan. The new amount applies from the next billing run. On a per-lesson plan, lessons taught before the change that are not yet billed also bill at the new amount. Invoices already made keep the old amount. The plan type cannot change.

Change a Student's Lesson Length

The plan sets the lesson length: 30, 45, 60 or 90 minutes. In the lesson form, a lesson on a plan shows the plan's length and "Set by plan". To change a student's lesson length, move the student to a plan with the new length. New lessons on that plan take its length.

Lessons already on the calendar keep their length. To change a series, edit it and choose the new plan under Billing. See Recurring lessons.

A Sibling or Special Rate

To give one family a lower rate, such as a sibling discount, make a plan with that rate, for example "Piano 30 min - sibling". Then move the student to it. Each plan has its own price, so a separate plan is how you give a family a special rate.

Find an Old Plan

The Plans tab shows only active plans at first. Set the status filter to Archived or All first: the search box looks only at the plans the filter shows.

Before a Price Change

Tell families before a price change. To send one message to many families, see Group Messages. For a price change at the start of a school year, see Starting a New School Year.
