Adding a Student

Use the Add Student wizard to add every new student, your first one included. The wizard creates the student, links them to a family and a parent or guardian, and can invite the parent to the parent portal.
Owners, admins, and teachers can add students. Staff do not see Add Student, and the full form sends them back to the Students page.
Open the Wizard
Open Students and click Add Student, or click Add student in the quick actions on your dashboard. The wizard has four steps: Student Info, Family, Parent / Guardian and Review. Click Next to go on and Back to change an earlier step.
Student Info
- Enter the student's First Name and Last Name.
- Choose an Instrument. The Primary Teacher list then shows the teachers of that instrument.
- Choose the Primary Teacher. When a teacher who teaches that instrument adds the student, Trio selects that teacher first.
- Add a Date of Birth and a Skill Level if you have them. Both are optional.
Family
A family is the household. Trio bills a family on one invoice for all of its students.
- For a new household, choose Create New Family and enter a Family Name. The address is optional.
- For a brother or sister of a current student, choose Add to Existing Family and select the family.
Parent / Guardian
- In an existing family, select an adult who is already in the family, or click + Add another guardian.
- For a new adult, enter a First Name, a Last Name, and an Email or a Phone. Then choose the Relationship.
Owners and admins see Send Trio invite. It is on by default and works only when you enter an email. Trio then invites the parent to the parent portal.
Review and Create
Check the details and click Create Student. Trio opens the new student's page. Next, schedule lessons on the Calendar and set up billing in Billing. If the email provider blocks the parent's address, Trio still creates the student and shows a warning. Ask the family for a different address.
Student Limit on the Free Plan
On the Free plan, Trio allows 10 active students. At the limit, the button reads Add Student (limit reached). Click it to see the upgrade offer. Pro and Max have no student limit.
Allergies and Medical Notes
The wizard has no field for medical information. To add it:
- Open the student's page and click Edit.
- Fill in Allergies / Medical Notes and click Update Student.
The student's page then shows an Allergies & Medical Notes card.
The Full Student Form
Some links, such as the ones Ask Trio gives, open the full student form. Its Family field is required, so the family must exist first. For a new household, use the wizard.
When a teacher adds a student, the picker starts with that teacher; choose another teacher if needed. Owners and admins see a Send login invitation toggle. When you type an email, it turns on automatically. Leave it on to email a portal invitation as soon as the student is created. Teachers do not see the toggle; an owner or admin sends the invitation later from the family page. This invitation goes to the student, not the parent. The student needs a date of birth on file and must be 13 or older.
