Adding Your First Student

By Trio Team · Updated

Screenshot of Adding Your First Student

Trio offers two ways to enroll a new student: the Students page has an Add Student button that opens a quick four-step wizard, and /teacher/students/new is the full single-page form. This article covers the full form, which collects everything in one place - basic details, family, music information, and contact info.

Filling Out the Form

The form is organized into four cards. Work down the page and click Create Student when you are done.

Basic Information

Enter the student's First Name and Last Name, then choose a Family. The family field is required - pick the household this student belongs to. A family lets you bill several students together on a single invoice, so create the family first on the Families page if it does not exist yet.

This card also has a required Primary Teacher picker (the teacher responsible for the student) and optional Date of Birth, Gender, and School fields.

Music Details

Set the student's Skill Level from the levels configured in your studio, and add free-form Notes for lesson preferences, goals, or anything else worth remembering. Instruments are added later from the student's profile.

Contact Information

Enter the student's Email and Phone. These are the contact details Trio uses to reach the student or their family. You can also record Allergies / Medical Notes here.

When you type an email, the Send login invitation toggle turns on automatically. Leave it on to email a portal invitation as soon as the student is created.

Custom Fields

Add any extra information your studio tracks - instrument rental numbers, parent preferences, and so on. Custom fields are optional.

Inviting the Parent or Student

If an email is filled in and Send login invitation is on, Trio sends a portal invitation the moment you click Create Student. The recipient can sign in to the member portal to see the student's schedule, invoices, lesson notes, and practice log.

If the invitation cannot be sent - for example, one was already sent to that address - Trio still creates the student and tells you what happened. You can manage invitations later from the Families page.

Where the Student Appears Next

After you create the student, Trio opens their profile page. From there the student is:

  • Searchable from Students
  • Linked to their household on Families
  • Available to add to lessons on the Calendar
  • Ready for billing once enrolled in a plan, with invoices flowing through Billing
