Managing Students

The Students page is the master roster for your studio. Find students fast, run bulk operations, and open individual student profiles to view and edit their details.

Header and Add

The page header reads Students with an Add Student button on the right. Clicking it opens the four-step Add Student wizard. If your studio has reached its plan's student limit, the button changes to a prompt to upgrade - see Adding Your First Student.

Search and View

Below the header:

  • Search - type a student name to filter the list. Search keeps your other filters in place.
  • View toggle - switch between table view (compact, sortable rows) and card grid (visual cards with photos).

Filters

The filter bar offers four controls:

  • Teacher - visible to owners and admins. Teachers see only students assigned to them, so this filter does not appear for them.
  • Family - narrow the list to a single family.
  • Status - All, Active, or Inactive.
  • Sort - Name A-Z, Name Z-A, Newest First, or Oldest First.

When any filter is active, a Clear filters button appears that resets every filter except search.

Bulk Actions

Select one or more students with the checkboxes on each row. A bulk action bar appears showing the selection count plus context-aware buttons:

  • Deactivate - appears when at least one active student is selected.
  • Activate - appears when at least one inactive student is selected.
  • Reassign Teacher - owners and admins only. Choose a teacher from the dropdown to move every selected student.

Activate and Deactivate ask you to confirm before applying. Use Clear to drop the selection.

Student Profile

Click a student's name to open their profile. The header shows the student's photo, name, and skill level, with buttons to ask Trio about the student, send a message (when they have a Trio account), deactivate or reactivate, and edit their details. The profile is organized into four tabs:

  • Overview - personal details, family and teacher, instruments, emergency and medical notes, and any custom fields.
  • Lessons - the student's lesson schedule.
  • Attendance - attendance history.
  • Practice Log - logged practice sessions.

Student Trio Account

The Personal Details card shows the student's account status. Students may only have their own login when they are 13 or older and have an email address on file. The status reads as one of:

  • Trio Account - the student has accepted their invitation and has active access to your studio's member portal.
  • Invited - an invitation has been sent but not yet accepted. Resend Invite sends it again (and extends an expired invitation). A student can show Invited even if their login was pre-created when the invite was sent - the badge reflects acceptance, not whether a sign-in record exists.
  • No Trio Account - no account and no pending invitation. Send Invite appears when the student is 13 or older and has an email.

Students under 13, or those with no date of birth on file, never get Send Invite or Resend Invite buttons. A prior sign-in date is supplementary information only and does not by itself determine whether a student has a Trio Account.

Deactivate vs. Delete

Trio prefers deactivation over deletion. Deactivating a student keeps their history - lessons, notes, invoices, and payments - intact while hiding them from active lists and scheduling workflows.

To reactivate, set the Status filter to Inactive, find the student, and either select them and choose Activate from the bulk action bar or open their profile and click Reactivate.

Deletion is handled as a soft delete behind the scenes, so records are retained for audit and reporting.

Linking to Families and Teachers

Every student belongs to one family and has one primary teacher. The Add Student wizard captures both, and you can change them later from the student's profile. Reassigning the primary teacher reroutes future lesson notes, attendance, and which teacher sees the student.
