See your Trio lessons in your calendar app

Subscribe to your Trio schedule from Apple Calendar, Google Calendar or Outlook, so your lessons show next to the rest of your day, on your phone too. Open the Calendar Integration page from the Calendar integration icon button on the Calendar, or from Calendar Integration in your user menu.

The same page has the Your other calendars card, which works the other way: it shows your personal calendar in Trio. See Show your personal calendar in Trio.

Your subscription URL

The Calendar Integration card makes a private subscription link the first time you open the page. It shows under Your subscription URL. You have one link for each studio you belong to. Two buttons sit beside it:

Copy - copies the link; the button reads "Copied!" for a moment
Open in Calendar - opens the link in your default calendar app

Paste the link exactly as shown. It starts with webcal://, which tells a calendar app to subscribe.

What the feed shows

The calendar shows in your app as "Trio Schedule". It holds lessons from 90 days ago to one year ahead, and your studio's events.

Each lesson shows the student's full name, the instrument and the location. For an online lesson, it also shows the meeting link and the joining notes. Anyone who has your link can see all of this, so keep the link private.

Owners and admins see a Feed includes option with two choices:

My lessons only - only the lessons you teach (the default). If you have no teacher profile, the feed shows studio events only.
All studio lessons - every lesson in the studio

Teachers and staff do not see this option. Their feed always has only their own lessons. A change to the setting makes a new link, and the old link stops working at once, so update your subscribed calendars.

Cancelled lessons

When a lesson is cancelled, it stays in subscribed calendars for a short time, marked as cancelled, and then it is removed. This lets people see the cancellation without a long list of cancelled lessons building up.

Owners and admins set how long with Show cancelled lessons for on the Cancelled Lessons card. The setting applies to every calendar feed in the studio. The choices are:

Don't show - a cancelled lesson leaves the feed at once
24 hours
48 hours (the default)
3 days
1 week
Until they pass - a cancelled lesson stays in the feed, marked as cancelled, until it is more than 90 days in the past

The time counts from when the lesson was cancelled, not from when the lesson was due. The change saves as soon as you pick an option. Teachers and staff do not see this setting.

Calendar apps check the feed on their own schedule. With a short setting, such as Don't show or 24 hours, a calendar app can remove a cancelled lesson before it ever shows it as cancelled. A deleted lesson always leaves the feed at once, whatever the setting.

The card lists the steps for each app. In each one, paste your subscription link:

Google Calendar - Other calendars → From URL
Apple Calendar - File → New Calendar Subscription
Outlook - Add calendar → Subscribe from web

Each app checks the feed on its own schedule, so a change in Trio can take a while to show in the other calendar. Google Calendar can take several hours or longer to show a change.

Making a new link

Click Regenerate URL to make a new link. The old link stops working at once. Do this when you want to:

Take back a link you shared by mistake
Stop a calendar that no longer needs the feed
Replace a link that someone else may have

Then subscribe again in each calendar app with the new link. Old subscriptions stop updating.
