Calendar Integration

Subscribe to your Trio schedule from Apple Calendar, Google Calendar, or Outlook so lessons show up alongside the rest of your day. Open it at Calendar Integration, or click the Calendar integration icon button on the Calendar header.

Your Subscription URL

The Calendar Integration card generates a personal subscription URL the first time you open the page. It is shown under Your subscription URL and is unique to your account. Two buttons sit beside it:

  • Copy - copies the URL to your clipboard; the button briefly reads "Copied!"
  • Open in Calendar - opens the URL so your default calendar app handles it directly

Feed Includes

Owners and admins see a Feed includes option with two choices:

  • My lessons only - the feed contains only lessons assigned to you (the default)
  • All studio lessons - the feed contains every lesson in the studio

Teachers and staff do not see this option - their feed is always limited to their own lessons. Switching the setting issues a new URL and the old one stops working immediately, so update any subscribed calendars afterward.

How to Subscribe

The card lists the steps for each app. In every case, paste your subscription URL where prompted:

  • Google Calendar - Other calendars → From URL
  • Apple Calendar - File → New Calendar Subscription
  • Outlook - Add calendar → Subscribe from web

Each app refreshes the feed on its own schedule - often every few hours - so a change in Trio may take a little while to appear in the external calendar.

Regenerating the URL

Click Regenerate URL to issue a fresh URL. The previous URL stops working right away, and a message confirms the change. Use this when you want to:

  • Revoke a URL you shared by mistake
  • Remove access from a calendar that no longer needs the feed
  • Replace a URL you think someone else may have

After regenerating, re-subscribe in each calendar app with the new URL - old subscriptions will simply stop updating.

Why the URL Starts With webcal://

The subscription URL begins with webcal:// instead of https://. The webcal:// prefix tells a calendar app to open its subscribe dialog, while an https:// link would just download the feed as a file. Paste the URL exactly as shown - no need to change the prefix.
