Show your personal calendar in Trio

Add the private link of your personal Google, Outlook or Apple calendar, and Trio shows your busy times next to your lessons. Then you do not schedule a lesson on top of a dentist appointment or a school pickup. To see your Trio lessons in another calendar app, see See your Trio lessons in your calendar app.

Trio only reads your calendar. Your personal calendar stays as it is, and only you see your event titles.

Showing your other calendars is available on Pro and Max. On Free, the card shows the studio owner an Upgrade to Pro prompt. Other roles see "Ask your studio owner to upgrade." in its place. You need a teacher profile to add a calendar.

Open the Calendar Integration page. The Your other calendars card is below your Trio subscription link. Owners and admins see the Cancelled Lessons card between them.

What Trio does with your calendar

Shows your busy times on the Trio calendar. You see your event titles. Owners, admins and staff see "Busy" with your name.
Shows the warning "Teacher has a personal calendar event at this time" when you schedule a lesson on a busy time. You can still save it.
Keeps families from booking or moving a lesson into one of your busy times.
Reads your events from 7 days ago to 90 days ahead.
Skips events marked Free and cancelled events. An all-day event marked Busy blocks the whole day.
Reads the calendar again every 15 minutes. Press Sync now on a calendar to read it right away (once a minute).

The Show my other calendars switch in the calendar's View options is on by default. Turn it off to hide the busy times.

Where to find your calendar's ICS link

Each calendar app gives a calendar a link in iCal format. Anyone who has the link can open the calendar, so keep it private.

Google Calendar

Open Google Calendar on a computer.
Hover over the calendar under My calendars, click the three dots, then Settings and sharing.
Scroll to Integrate calendar.
Copy the Secret address in iCal format. It ends in basic.ics, with a private- part just before it. The Public address in iCal format (it ends in public/basic.ics) works only when the calendar is shared publicly.

Outlook.com

Open Outlook on the web and open Settings, then Calendar, then Shared calendars.
Under Publish a calendar, choose the calendar and the detail level, then Publish. Trio needs only busy times, so Can view when I'm busy is enough.
Copy the ICS link (not the HTML link).

Apple iCloud

Open iCloud Calendar in a browser.
Hold the pointer over the calendar and click the Calendar Information button next to it.
Turn on Public Calendar, then click Copy.

A public iCloud calendar shows your event details to anyone who has the link. The link starts with webcal://, and Trio accepts it as it is.

Adding a calendar

Press Add calendar.
Enter a Label you will recognize, like "Personal Google".
Paste the link into Calendar URL.
Press Add calendar. Trio reads the calendar right away. This can take a few seconds.

You can add up to 5 calendars, and each calendar only once. If you paste a Google public address, a note under the field tells you to copy the Secret address in iCal format instead to keep the calendar private.

Trio accepts most links when you add them. If a link is not a calendar, its row then shows "Sync failed: The URL did not return a calendar." Copy the private link again.

Sync status

Each calendar row shows when it last synced:

Synced 12m ago - the last read worked.
Sync failed: ... - the last read did not work, and the message says why, for example 'The calendar URL returned "not found" (404).' Check that the link is still valid and press Sync now.

To stop showing a calendar, press Remove. Trio deletes its busy times from your schedule at once.

After a downgrade to Free

Your calendars stay listed so you can remove them. They show Sync paused. Trio stops reading them and deletes the stored busy times.
