Managing Lessons

Create, reschedule, and cancel private lessons from the Calendar. Trio checks for scheduling conflicts as you fill in the form, so you catch double-bookings before they happen.

Creating a Lesson

Click Schedule Lesson in the calendar header, or click an empty time slot to pre-fill the date and time. The Schedule Lesson modal asks for:

  • Student - searchable picker, scoped to the students you can see
  • Teacher - owners and admins can assign any teacher; teachers see only themselves
  • Date and Start Time
  • Duration - when the student is on a billing plan, duration is locked to the plan; otherwise pick a length
  • Location and Room - optional; a room enables the room-conflict check
  • Price - auto-filled from your default rates for ad hoc lessons, and hidden when the lesson is tied to a billing plan
  • Add recurrence - turn the lesson into a repeating series (see below)

If the student has unused makeup credits, a credit selector appears so you can apply one. Click Schedule Lesson to save; the calendar updates immediately for everyone with access.

Recurring Lessons

Click Add recurrence to open the recurrence settings. Choose a Frequency of weekly, every two weeks, or monthly, a Day of Week, and an optional End Date - leave the end date blank for a series with no end. A preview lists the next occurrences before you save.

Trio generates lesson instances on a rolling 90-day window. The series fills in further as time passes, so a no-end series always stays roughly three months ahead on the calendar.

To change a recurring lesson, click any instance and choose:

  • Edit this instance only - applies to that single lesson and detaches it from the series
  • Edit all future instances - updates this lesson and every later one in the series

Rescheduling

Reschedule in two ways:

  1. Drag the lesson to a new slot in Day or Week view
  2. Edit the lesson and change the date or time

Both run conflict detection. Dragging a recurring lesson asks whether to move This lesson only or This and future.

Cancelling a Lesson

Open a lesson and choose Cancel Lesson. Pick a Reason (student cancellation, teacher cancellation, weather, illness, or other) and add optional notes. For an upcoming lesson you can also turn on Issue makeup credit - the credit is worth the lesson price and expires in 90 days. The makeup-credit option is hidden for lessons already in the past.

A cancelled lesson stays on the calendar in a faded state. Use Restore Lesson from the details panel to set it back to scheduled.

Conflict Detection

As you set a teacher, time, room, or student, Trio checks for clashes and shows a banner:

  • Teacher already teaching - a conflict that blocks saving
  • Room already booked - a conflict that blocks saving
  • Student already scheduled - a warning you can save past
  • Teacher unavailable - a warning when the time falls outside the teacher's availability

Resolve any blocking conflict before the form will save.
