Parent Portal Overview

Screenshot of Parent Portal Overview

The parent portal is the family-facing side of Trio. Families sign in under /member to see lessons, pay invoices, read shared notes, track repertoire and practice, message the studio, and manage their preferences. Teachers and staff keep working in the teacher portal; the parent portal is what families experience.

Main portal pages

Families see portal pages based on the features and records available to them:

  • Dashboard - upcoming lessons, balance, practice summary, recent notes, and quick actions
  • Schedule - lesson agenda and self-booking when the studio allows it
  • Invoices and Billing - invoices, online payments, saved payment methods, and autopay preferences
  • Notes - lesson notes you have completed and shared
  • Repertoire - pieces assigned to each student
  • Practice - streaks, weekly progress, today's focus, badges, heatmap, and recent sessions
  • Messages - conversations with the studio
  • Events - recital or studio event details and RSVPs
  • Resources and Policy - shared studio resources and policy acknowledgments

Families also have a notification bell, a full notification history page, and profile/settings pages for their contact details and preferences.

Schedule and self-booking

The Schedule page shows the family's lessons. When member booking is enabled, families can use Book Lesson to choose from available slots. Booking respects teacher availability, studio settings, and scheduling rules. If self-booking is off, families can still view their schedule but do not see booking actions.

Lesson notes

Families only see notes that have been completed and shared. Drafts, unshared notes, raw AI input, and private sections stay inside the teacher portal. Shared notes appear on the Notes page and can include a downloadable PDF. See AI Lesson Notes for the teacher workflow.

Repertoire and practice

The Repertoire page shows assigned pieces and their progress states. Families can open a piece to review details and practice context, but assignment management stays with the teacher.

The Practice page is a dedicated practice home with a student switcher, streak card, weekly goal progress, today's focus, assignment checklist, mood-aware session logging, recent badges, and a practice history heatmap. See Family Practice Tracking for the full practice workflow.

Billing and payments

The Invoices page lists invoices the family can view or pay. When Stripe is connected, families can pay online, save payment methods, and manage autopay preferences. Without Stripe, families can still view invoices and follow the studio's payment instructions.

Notifications

Families receive notifications through their enabled channels and can review them from the bell or Notifications page. In member notification settings, they can manage email, SMS, push, and practice-specific topics such as badge alerts, daily practice reminders, and weekly digest email.

Inviting families

Invite families from Families. Add a guardian with an email address, then send an invitation. The family signs in with a secure link and sees only the students, invoices, notes, messages, and events connected to their family.
