Team Management

Manage everyone with access to your studio from the Team tab in Studio Settings. The tab holds an invite form, your pending invitations, and a list of current members. Only owners and admins see the Team tab. Adding teacher or staff accounts is available on the Pro plan and above; the Free plan is a single-teacher studio.

Reaching Team Management

Open Studio Settings and select the Team tab from the tab bar. The tab appears only for owners and admins.

Roles

Trio uses four staff roles, in order of privilege:

  • Owner - full control, including billing, subscription, and the danger zone. Exactly one per studio.
  • Admin - everything an owner can do except owner-only actions like deleting the studio and changing the subscription.
  • Teacher - works with their own students, lessons, calendar, lesson notes, and attendance.
  • Staff - administrative helpers; they handle students, scheduling, applications, and messaging, but not billing, reports, or settings.

Inviting a Member

In the Invite Member card, enter the person's Email, an optional Phone number, and choose a Role (Admin, Teacher, or Staff). Click Send Invite. Trio emails an invitation with a one-time link; when the recipient signs in, they join your studio with the assigned role.

Pending Invitations

The Invitations card lists invitations that have not yet been accepted. Each shows the email, role, and status (Pending, Expired). For each you can:

  • Resend - email the link again, useful when it expires or gets lost
  • Revoke - cancel the invitation

First Sign-In Setup for an Invited Member

Everyone you invite - admin, teacher, or staff - completes a short one-time personal setup the first time they sign in. Trio sends them to the setup wizard, which opens with "Welcome to Trio!" and takes a minute.

This is a different wizard from the one you completed as owner. Setting Up Your Studio describes the studio onboarding wizard at /teacher/onboarding, which configures the studio itself - profile, availability, first student, getting paid. The setup wizard configures the person: their own name, phone, instruments, and teaching hours. Nobody else can complete it for them.

The steps are:

  1. Phone - some people see this step first. It appears when Trio has no verified phone number for the account. They enter a mobile number, agree to the SMS consent text, and confirm a 6-digit code so Trio can send them text alerts. It can be skipped.
  2. Profile - first name (required) and last name.
  3. Instruments - which instruments they teach. Teachers must choose at least one. Admins, owners, and staff get a Skip button, and skipping finishes their setup and drops them on the dashboard.
  4. Availability - their weekly teaching schedule. Skip for now or Finish Setup both end the wizard.

Progress is remembered between visits, so someone who closes the tab midway picks up on the same step. Once setup is complete, going back to the setup page just returns them to the dashboard.

You can save an invited teacher the wizard entirely: if you set their instruments from the Team Members card before their first sign-in, Trio marks their setup complete and sends them straight to the dashboard. Instruments and availability stay editable afterward - by them in their own profile, or by you from the Team tab.

Team Members

The Team Members card lists current members with their role, availability, instruments, and status. Owners and admins can:

  • Change role - owners adjust a member's role from the inline role selector, with a confirmation prompt
  • Edit - open a teacher's profile details (name, display name, phone, bio) from the Actions menu
  • Manage instruments - use the pencil in the Instruments column to set which instruments a teacher offers
  • Manage availability - use the pencil in the Availability column to open that teacher's weekly schedule
  • Deactivate - remove a member's access while preserving their history; deactivated members can be re-activated later

A safeguard prevents removing or demoting the last owner - promote another member to owner first.

How Roles Affect the App

Each role sees only the features it is allowed to use. For example, only owners and admins see Billing, Reports, and Studio Settings; only the owner sees Owner Settings; and teachers see only their own students.
